Terms of Service

These terms govern use of MadyHR.ai ("the Service"), operated for UK employers. By creating a Company on the Service, you agree to these terms.
1. The Service
MadyHR.ai is HR administration and sponsor-compliance record-keeping software. It helps you keep employee records, leave, attendance, documents and Right to Work evidence in order, and flags what needs attention. It is not a law firm, does not give legal or immigration advice, and does not submit reports to the Home Office Sponsor Management System on your behalf — reporting duties remain yours.
2. Accounts and eligibility
You must be a UK employer (or acting for one) to create a Company. You are responsible for the accuracy of information entered, for keeping your account credentials secure, and for the actions of users you grant access to within your Company.
3. Fees and payment
The Service is billed at a flat annual rate or a one-off 10-year rate, shown on the pricing page, with no per-employee fee. Payment is processed by Stripe; we do not store your card details. Prices may change for future terms, but not during a term you have already paid for.
4. Your data and content
You own the employee and Company data you enter. We process it on your behalf as described in our Privacy Policy and Data Processing Agreement. You are responsible for having a lawful basis to process the personal data of your employees and candidates within the Service.
5. Acceptable use
You agree not to use the Service to store data you don't have a right to hold, to attempt to access another Company's data, to interfere with the Service's operation, or to use it for anything unlawful.
6. Termination
You may stop using the Service at any time; access continues for the remainder of a paid term. We may suspend or terminate accounts that breach these terms or applicable law, with notice where reasonably possible.
7. Liability
The Service is provided on an "as is" basis. Nothing in these terms excludes liability that cannot be excluded under English law (including for death, personal injury caused by negligence, or fraud). Beyond that, our liability is limited to the fees paid for the Service in the 12 months before the claim arose.
8. Changes to these terms
We may update these terms from time to time. We'll post the updated version here with a new "last updated" date; material changes will also be emailed to account administrators.
9. Governing law
These terms are governed by the law of England and Wales.
