Free Code of Conduct Template

A code of conduct sets out how everyone at your company is expected to behave. This template keeps it short and practical, and includes a statement recognizing employees' right to talk about pay and working conditions. National Labor Relations Board standards on workplace rules change often, so have your final wording reviewed.

This template is a free starting point, not legal advice. MadyHR.ai is not a law firm and cannot give legal advice. Employment law is different in every state, and some cities have their own rules. Laws also change. Before you use this template, check it against the laws where your employees work, and speak to an employment attorney or your state labor department if you are unsure. When to use this template

  • Handbooks and onboarding
  • Setting expectations as you grow
  • Supporting fair, consistent discipline

Tips before you use it

  • Avoid broad bans on "negative talk" about the company or on discussing pay — the National Labor Relations Act protects those conversations, even in non-union workplaces. A general statement protecting those rights does not by itself make an over-broad rule lawful.
  • Link the code to your anti-harassment and IT policies rather than repeating them.
  • Apply it consistently to everyone.

Frequently asked questions

Can a code of conduct ban employees from discussing their pay?

Generally no. Section 7 of the National Labor Relations Act protects most non-supervisory employees' right to discuss wages and working conditions, whether or not there is a union.

What happens if an employee breaks the code of conduct?

The code should say that violations may lead to discipline, up to and including termination, and the response should be consistent and proportionate.
